Terms of Service
Plain terms for a plain product. Last updated 19 August 2026.
1. What Coverkey is
Coverkey holds your team's work logins — username, password and the live 6-digit app code — so an admin can use them while a colleague is on cover (holiday, sick leave, or gone for good). Logins are locked at all other times, and every view is recorded permanently. Coverkey never signs in to your systems on your behalf: a person always reads the code and types it in themselves. 2. Your account
You must be authorised to act for the business you sign up on behalf of. You're responsible for who you give admin access to, for keeping that access accurate as staff join or leave, and for the accuracy of the login details you store. Coverkey is a record of logins you already control — we don't create, verify, or take any responsibility for the systems those logins belong to.
3. What we store, and what we don't do with it
Usernames, passwords, and authenticator setup keys are stored encrypted and are shown only to your own signed-in admins, and only while the relevant colleague is marked on cover or has left. We do not read, use, sell, or share the contents of your logins, and nothing in Coverkey ever logs in to a target system for you — see the “a person types the code, always” promise on the Security page. If we ever believe our own systems have been compromised in a way that could affect your stored logins, we'll tell you directly and promptly.
4. Cover-line phone number
Where you use Coverkey's phone-code cover feature, the phone number we provide remains Coverkey's property at all times; you do not own it, and it does not transfer to you on cancellation. You are responsible for removing it from any system where you registered it, including before or promptly after your account is cancelled or your business stops using Coverkey. We hold a cancelled or released number in reserve for a period before it can be reassigned to reduce the risk of a former customer's codes reaching someone else, but this does not remove your own responsibility to remove it from your systems, and Coverkey is not liable for codes, access, or other consequences arising from a number that remains registered on a system after your account has ended. Voice-based access codes are a feature of the third-party systems you connect, not of Coverkey; their availability, behaviour and continued support are controlled entirely by those third parties and may change or be withdrawn at any time without notice to us.
5. Free trial
New businesses get a 21-day free trial with no card required to start. One trial per business. When the trial ends without an active plan, the account moves to the locked, read-only state described in section 7 until a plan is chosen.
6. Subscription & billing
Paid plans are billed monthly or annually through our payment processor, Stripe, to the card you provide. Current prices are shown on our Pricing page. If we change prices, we'll email you before the change applies to your next billing period — it never changes mid-period without notice.
7. Cancellation
Cancel any time from Settings → Manage billing — that opens Stripe's secure billing portal, and cancellation takes effect immediately from there with no need to contact us. Cancelling keeps your access until the end of the billing period you've already paid for — we don't cut you off mid-period, and we don't issue partial refunds for time remaining in that period.
Once a cancelled (or trial-expired) period ends, your account locks: your team, systems, and full activity log stay visible, but you can't open a login or add new data until you subscribe again. We don't delete your stored logins on cancellation. If you want the account erased, email support@coverkey.co.uk and we'll close it, permanently destroy every stored login, and replace the names and email addresses on your team and admin records with anonymous placeholders. The activity record itself is kept as an anonymised, timestamped skeleton — permanence is the point of it. The full procedure is described on our Privacy page. Otherwise, cancelled accounts are erased the same way 90 days after closing.
8. Ending your account
We may suspend or end an account for non-payment (following the cancellation terms above), for using Coverkey to store logins you're not authorised to hold, or for other misuse of the service. Where possible we'll give you notice first.
9. Changes to these terms
We may update these terms as the product changes. For material changes, we'll email the account owner before they take effect.
10. Liability
Coverkey is a record-keeping and access-control tool for logins you already own and control — we are not responsible for the target systems themselves, for actions taken by whoever reads a code and types it in, or for losses arising from login details you stored inaccurately. Our total liability to you is capped at the amount you've paid us in the 12 months before the claim.
11. Governing law & contact
